What we collect when you apply or contact us, why, and what you can ask us to do with it.

What we collect

When you apply for a job, we collect your name, phone number, email address and your answers to the application questions. If you attach a resume or photos of your driver’s licence, we keep those files too. The licence photos are optional unless a role says otherwise.

To block spam, we store a scrambled code made from your network address, not the address itself. We use it only to limit repeat submissions. We don’t collect anything else about your visit.

If you email us about a business inquiry, we keep that email so we can reply.

Cookies and tracking

The public website sets no cookies. It uses no analytics, no advertising tools and no third-party scripts. Our hiring staff’s sign-in pages use one cookie to keep them signed in.

Why we use it

We use your application to review whether you fit the role and to contact you about it. We use licence photos only to confirm your licence class and that it’s valid. We never sell your information or use it for marketing.

We sort applications using rules we set, based on your answers. We may also use artificial intelligence (AI) tools to help screen, assess or select applicants.

Who can see it

Within AVRK Canada, only our hiring staff. Your application is stored in a private, password-protected area of our web host. A copy, including any files you attach, is emailed to our hiring inbox.

Service providers handle this information for us. These include our web host, our email provider and any AI or hiring tools we use. They may store or process it on servers outside Canada, where local law may allow authorities to access it. We don’t share your information with anyone else unless the law requires it.

How we protect it

Application files are kept in a private storage area that can’t be reached from the public website. Every file is checked when it’s uploaded. On our website, only signed-in hiring staff can open them.

How long we keep it

We delete applications and their files after 12 months, or sooner if you ask. That includes the copy in our hiring inbox. If we hire you, your application becomes part of your employee file.

If we interview you, Ontario law requires us to keep a record of the hiring-decision notice we send you for 3 years.

Your choices

You can ask to see the information we hold about you, correct it, or have it deleted. You can also withdraw your application at any time. Email jobs@avrk.ca from the address you applied with, and we’ll respond within 30 days.
